Records Retrieval Expeditor / Order Entry Position

We are currently looking for a dynamic and detail-oriented individual to join our team as a Records Retrieval Expeditor / Order Entry Specialist.

    • Redding, California

    • Part-time

    • In-Office Primary 

    • Monday - Friday, 28-32 hours per week

    • Compensation Package Negotiable based on Skills & Qualifications 

  • Expeditor Role

    • Confirm receipt of record requests to the custodian of records and verify contact information

    • Monitor and expedite the procurement process to achieve accurate, efficient, and speedy records acquisition.

    • Coordinate with other departments to ensure all records are acquired in compliance with company policy and legal guidelines.

    • Coordinate job assignments with our field representatives for service, pick up and scanning

    • Update and maintain a communications log in our database for tracking record statuses.

    Order Entry Role

    • Conduct accurate research to identify the custodian of records.

    • Issue subpoenas and authorization requests for required records.

    • Maintain precise and accurate documentation for all issued and received records in our software.

    • Communicate regularly with clients to update them on record statuses.

    • Communication Skills: Excellent oral and written communication skills; ability to effectively communicate via phone and email.

    • Research Skills: Ability to identify and find the appropriate custodians of records and their best practice process for expediting all requests.

    • Note-Taking: Strong ability to keep accurate and detailed notes and update our software databases.

    • Task Management: Proficient in managing and prioritizing multiple tasks and deadlines.

    • Teamwork: Ability to work well in a team and coordinate schedules and responsibilities.

    • Client Support: Excellent customer service skills.

    • Calendaring: Experience with electronic scheduling and calendar management

    • Prior experience in a similar role is a plus.

    • Proficiency in Microsoft Office Suite, Adobe or comparable software.

    • Software Compression Adaptability for learning our industry software.
